ShipVine 3PL Integration — Shopify Edited Order Sync (Account Editor)

This guide helps merchants using ShipVine (3PL) understand how to configure the integration so that Account Editor order edits are always reflected correctly. ShipVine does not read live order data — orders must be fully finalized before ShipVine picks them up.

ShipVine uses a different integration method from most 3PLs. Instead of delayed payment capture, this integration relies on an ON-HOLD Flow that controls when ShipVine downloads the order using Shopify fulfillment tags. Payment capture settings do not need to change.

How the Integration Works

ShipVine downloads an order when its fulfillment status in Shopify is set to Fulfilled or Fulfilled Hold Release. The ON-HOLD Master Flow controls this by tagging orders during the editing window and releasing them once editing is complete.

Step 1 — Order Created

A new order is placed → the ON-HOLD tag is automatically applied by the Flow.

Step 2 — Grace Period Active

The editing window opens. The customer or merchant can make changes in Account Editor — add items, remove items, change quantities, update the delivery address.

Step 3 — ShipVine Skips the Order

While the ON-HOLD tag is present, ShipVine does not download the order. The order is held back from ShipVine for the entire editing window.

Step 4 — Grace Period Ends

The editing window closes → the Flow swaps the ON-HOLD tag for the Fulfillment release tag.

Step 5 — ShipVine Downloads

ShipVine detects the Fulfillment release tag and pulls the order — already containing every edit made during the window.


Step-by-Step Setup

Step 1 — Import the ON-HOLD Master Flow

The ON-HOLD Master Flow handles everything automatically — it tags new orders as on hold, waits for the grace period to expire, then switches the tag to trigger ShipVine to download the finalized order.

  1. Download the ON-HOLD Master Flow file (provided with this guide)
  2. In Shopify Admin, go to Apps → Shopify Flow
  3. Click Import and select the downloaded .flow file
  4. Configure the grace period timing to match your editing deadline (e.g., 30 minutes)
  5. Click Activate to enable the Flow
  6. Click Save

How the Flow works: When a new order is created, the Flow immediately applies the ON-HOLD tag — blocking ShipVine from downloading it. Once the grace period expires, the Flow replaces that tag with Fulfillment release, signalling ShipVine to pull the completed, edited order.
No payment capture changes needed. Leave Shopify's payment capture setting on Automatic — this integration works entirely through fulfillment tags, not payment status.

Step 2 — Your Account Editor Workflow

Once the Flow is active, this is what happens automatically for every order:

  1. New order arrives → Flow applies ON-HOLD tag (ShipVine cannot see it )
  2. Grace period active → Customer edits in Account Editor — add/remove items, change quantities, update address
  3. Grace period expires → Flow swaps tag to Fulfillment release
  4. ShipVine detects the tag → downloads the finalized order
  5. Order is fulfilled with all edits included — no manual steps needed

What happens after this setup:

  • Correct order total — removed items not counted
  • Added items appear correctly in ShipVine
  • Quantity changes reflected accurately
  • Address changes included at download
  • Fully automated — no manual tag management needed

Testing Checklist

Run through every item below before going live with real orders:

  • Place a test order — verify the ON-HOLD tag is applied immediately after order creation
  • Confirm the order does not appear in ShipVine while the tag is active
  • Make edits during the editing window — add/remove items, change the delivery address
  • Wait for the grace period to expire
  • Verify the Fulfillment release tag is applied once the window closes
  • Confirm the order appears in ShipVine with all edits reflected correctly

Best Practices

  • Keep the grace period short — 30 minutes to 2 hours works well for most stores
  • Sync the editing deadline in Account Editor with the Flow timing so customers see an accurate countdown
  • Monitor the Flow run history after launch to confirm tags are being applied and swapped correctly
  • Always verify both the ON-HOLD and Fulfillment release tags during testing — both must fire correctly
  • Test the full flow end-to-end before accepting live orders
